This Privacy Notice aims to give you information on how we collect and process your personal data which we hold.  We do not knowingly collect data relating to children and our website, services and products are not intended for children.

We keep our Privacy Notice under regular review.  This version was last updated on [DATE].  Historic versions can be obtained by contacting us.  It is important that the personal data we hold about you is accurate and current.  Please keep us informed if your personal data changes during your relationship with us.

What information Quantum Science Ltd Collects

Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data).

Depending on the nature of our relationship with you, we may collect, use, store and transfer different kinds of personal data about you which we have grouped together as follows:

  • Identity Data includes first name, maiden name, last name, marital status, title, date of birth and gender.
  • Contact Data includes billing address, delivery address, email address and telephone numbers.
  • Financial Data includes bank account and payment card details.
  • Transaction Data includes details about payments to and from you or your employer and other details of products and services you or your employer have purchased from us.
  • Technical Data includes internet protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform, and other technology on the devices you use to access this website.
  • Profile Data includes purchases or orders made by you or your employer, your interests, preferences, feedback and survey responses.
  • Usage Data includes information about how you use our website, products and services.
  • Marketing and Communications Data includes your preferences in receiving marketing from us and our third parties and your communication preferences.
  • Employment Data includes any information you provide to us in your Curriculum Vitae and covering letter, any information you provide to us in an application form, your employment history, qualifications, your current level of remuneration (including benefits and entitlements), information about your entitlement to work in the UK, any information you provide to us during an interview.
  • Special Category Data includes information about your race or ethnicity, religious beliefs, sexual orientation or political opinions. This also includes information about your health, including any medical conditions, health and sickness records, any information about criminal convictions or offenses.

We also collect, use and share Aggregated Data such as statistical or demographic data for any purpose. Aggregated Data could be derived from your personal data but is not considered personal data in law as this data will not directly or indirectly reveal your identity. For example, we may aggregate your Usage Data to calculate the percentage of users accessing a specific website feature. However, if we combine or connect Aggregated Data with your personal data so that it can directly or indirectly identify you, we treat the combined data as personal data which will be used in accordance with this privacy policy.

We only collect Special Categories of Personal Data about you or details of your criminal convictions and offences where you are applying for a job role.

How is your personal data collected?

We use different methods to collect data from and about you including through:

Purpose of Processing

Quantum Science Ltd may collect information about your general internet usage by using a cookie file which is stored on the hard drive of your computer. Cookies contain information that is transferred to your computer’s hard drive. They help us to improve our site and to deliver a better more personalised service.

Who we share your personal data with

Your information will be shared internally for the purposes listed above. This includes members of the Sales & Marketing team, Members of the Finance and Supply Chain teams and members of the Investor Relations team. This access is restricted to those staff where the data is necessary for the performance of their roles.

The company will not share your data with third parties, unless your enquiry needs to be handled by third parties working with Quantum Science Ltd, such as the Registrar [RR NOTE – WHICH REGISTRAR?].

The company will not transfer your data outside the European Economic Area.

Data Security

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.

We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

Retention

The personal data that Quantum Science Ltd collects is only retained for as long as needed. The criteria we use to determine the period can vary for each type of data, which depends on statutory or contractual obligations. No fee usually required

You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we could refuse to comply with your request in these circumstances.

What we may need from you

We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

Time limit to respond

We try to respond to all legitimate requests within one month. Occasionally it could take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.

The right to lodge a complaint

In the event that you are not satisfied with our response or believe we are processing your personal data not in accordance with the law you can raise a complaint to the Information. Commissioner’s Office (ICO) in addition to maintaining the right to complain to a supervisory authority.

Further processing

Quantum Science Ltd will always endeavour to explain what personal data we require from you and the reasons why it is required. Should it be determined at a later date that we need to process your data for an additional purpose which you are not aware of at point of collection, we will ensure you are fully informed of our intentions and your rights as explained above will be applicable.
